Guidelines

Floral & Decor Guidelines

Florists must contact the rental department for detailed floral guidelines. Floral arrangements can contain pests (insects, larvae, etc.) that “hitchhike” into the building via floral arrangements and potted plants, and damage the artwork. These floral guidelines are necessary to prevent infestation and to safeguard the museum collection.

All décor must be approved by the rentals department. Vendors must obtain fire-marshal approvals for use of votive candles, as well as any applicable city permits (for tenting, outdoor sound, etc.) for each event.

Photography and Videography

All professional photographers and videographers hired to document an event must review and sign an application for permission to photograph and/or film in the museum before the event. Please contact the rentals department for a copy of the application form.

Images & Printed Materials

Prior to printing, all written materials must be reviewed and approved by the Asian Art Museum.

Images of events, the museum building, and artwork that are available on this website are copyright of the photographer and specifically licensed for use on this website. Clients must contact the museum and/or photographer listed, for permission to use these images in print or electronic invitations, websites, or other communications.

Vendor Guidelines

Vendors must contact the rentals department for detailed guidelines. New vendors must schedule a walkthrough of the event spaces.

Please discuss the amount of time necessary for set up and tear down, electrical and space requirements, etc. with the event planner during the proposal and planning phases of the event.

All vendors must ensure guest and art safety during events.

Animals and birds are not permitted on the premises as part of entertainment or décor. Outdoor sound ordinances must be obeyed.
